1. Who we are

EliteMotion ("we", "us", "our") is an app that helps dance camp organizers manage camps, trainers, schedules, and private lesson bookings, and helps dancers browse camps, register, and book private lessons. We are the data controller for the personal data processed through EliteMotion.

2. Data we collect

We collect the following categories of personal data:

• Account data: email address and authentication information when you sign in.
• Registration data: your name, email, phone number, club, country, home teacher, dance disciplines, age group, class level, and competitive dance ID (e.g. WDSF number), when you register for a camp — and the same details for your dance partner, if you register as a couple.
• Booking data: the camp package you select and any private lesson requests you make, including your trainer preference and requested hours.
• Trainer & organizer data: if you use EliteMotion as a trainer or camp organizer, we also process your trainer profile, schedule assignments, and the booking data you manage on behalf of a camp.
• Usage data: device information, app version, and basic usage analytics to improve the service.
• Data from the WDSF: when you or a camp organizer enter a WDSF MIN (World DanceSport Federation member number), we retrieve the public athlete profile for that number through the WDSF interface: name, sex, nationality and country, age group, year of birth, licence status and licence expiry date, and the active dance couple including the partner's name and MIN. We only use this information to pre-fill the form — nothing is taken over until you confirm it. Only camp organizers see the year of birth. We keep the WDSF's answer for at most 24 hours so the same number is not requested repeatedly. If the MIN is saved in a dancer profile, we also keep these WDSF details (without the year of birth) in that profile, so camp organizers can see, for example, whether the licence is valid; before camps you are registered for, we refresh them overnight. If the MIN is removed, we delete the WDSF details from the profile. Camp organizers, the trainers who give your couple lessons at a camp, and you yourself can also view your couple's public WDSF career: world ranking, recent competition results and upcoming competition entries. Other participants do not see it. We retrieve it from the WDSF when it is opened (rankings also overnight) and keep it for at most 24 hours; results of finished competitions are kept, as they no longer change. For each camp we also keep the couple's world ranking at the start of the camp, so the organizer can still see it later. If you registered without a country, the organizer can take over the country you compete for at the WDSF into your registration and dancer profile; a country you entered is never changed.
• Contact form: when you write to us through the form on this website, we receive your name, email address, the camp or organization (if you enter one), the topic and your message, the language of the page, and a one-way encrypted (hashed) form of your IP address that we use only to block abuse.

3. How we use your data

We use your personal data to:

• Create and manage your EliteMotion account.
• Process camp registrations and private lesson booking requests.
• Coordinate schedules and bookings between camp organizers, trainers, and dancers.
• Notify you about your registration status and relevant schedule changes.
• Improve the app and fix bugs.
• Answer the requests you send us through the contact form on this website.

We never sell your personal data to third parties or use it for advertising purposes. EliteMotion does not process any in-app payments — camp fees, where applicable, are handled directly between you and the camp organizer, outside the app.

4. Data sharing

Your data is shared only in the following circumstances:

• With the camp you register for: your registration and booking details are visible to that camp's organizers and to the trainers you request private lessons with, since they need this information to run the event.
• Service providers: we use Firebase (Google) for authentication, database, and hosting. Their privacy policy applies to data processed on their infrastructure.
• Legal compliance: we may disclose data if required by law, court order, or to protect our legal rights.
• World DanceSport Federation (WDSF): to look up a MIN or a couple's career, we send that number (and the WDSF couple and competition numbers) to the WDSF interface. To find a MIN by name (when you or the organizer look for it), we send the surname to the WDSF interface. No other data about you is transmitted.
• Email delivery: we use Resend to send emails, including forwarding the messages you send through the contact form to our team.

5. Data retention

Your account data is retained as long as your account is active. You may request deletion of your account at any time by contacting us.

Camp registration records are treated as a historical record of participation in a camp. This means camp organizers may retain your registration and booking details for camps you've taken part in — for their own administrative, accounting, and legal record-keeping purposes — even after you delete your personal account.

Messages sent through the contact form are deleted automatically after two years; the encrypted IP address used against abuse after one day.

6. Your rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: request a copy of all personal data we hold about you.
• Correction: request correction of inaccurate or incomplete data.
• Deletion: request deletion of your account, subject to the historical camp-record retention described above.
• Portability: request your data in a portable format.
• Objection: object to certain types of processing.

If you are located in the European Economic Area, you also have the right to lodge a complaint with your local data protection authority.
